What we collect
We collect the information you choose to send through a form. Depending on the form, that may include your name, email address, phone number, subject, message, project details, product or club choice, delivery details, notes, and photo links you provide.
We record your newsletter and SMS choices separately. For an SMS choice, the record may include whether consent was granted, the phone number, the disclosure version, the form used, the date and time, the IP address, and the browser user-agent.
For shop orders, the self-hosted Medusa store receives your cart and order items, name, email, phone number, shipping and billing address, delivery choice, and order and payment status.
How we use information
- Reply to inquiries and product questions.
- Prepare estimates and discuss cellar projects.
- Process and support store orders, delivery, and installation appointments.
- Run Karl's Cellar Club and keep membership records.
- Send the newsletter only when you choose it.
- Send customer-care texts only when you give separate SMS consent.
- Protect the forms and store from spam, fraud, and misuse, and document consent choices.
Store orders and payments
Medusa is the self-hosted software Wine Hardware uses for products, carts, inventory, shipping, and ordinary orders. It runs with the website rather than as a separate advertising service.
When card payments are enabled, Stripe handles card details on its systems for shop payments and Karl's Cellar Club checkout. Wine Hardware receives transaction and billing status and may receive card brand and last four digits, but not your full card number.
Text messages and consent
Wine Hardware customer-care texts are conversational and informational messages about your inquiry, order, delivery, installation appointment, or club membership. This program does not send marketing texts. You can read the full SMS terms in our SMS Policy.
Who processes information for us
- BCIO provides the rebuilt site's hosting, private storage, and technical operation.
- Stripe processes card payments and billing information when online payments are enabled.
- Aircall may process phone numbers and message details if Wine Hardware adopts it for customer-care calls and texts.
- Emailit may process email addresses and message content once email delivery is enabled.
These providers receive information only as needed to provide their support service. We do not authorize them to use mobile opt-in information or SMS consent for marketing.
How long we keep information
We keep form, order, membership, and consent records only as long as needed readyle your request, provide service, keep required business records, resolve a problem, protect the site, or document your communication choices. When information is no longer needed, we delete or de-identify it.
A deletion request may not cover a record we still need for accounting, legal, fraud-prevention, or security purposes. Stripe and other service providers keep information under their own retention requirements.
Your choices
- Use the unsubscribe link in a newsletter, or email us, to stop newsletter messages.
- Reply STOP to stop customer-care texts. Reply HELP for help.
- Ask us to correct or delete information by emailing michael@winehardware.com.
- Clear this site's local storage in your browser to remove the saved cart identifier from that browser.
Karl's Cellar Club
Club records may include your contact details, selected level, pickup or delivery choice, delivery address, preferences, notes, billing status, and membership history. The signup records your age, ID, and club-terms acknowledgements. Staff may also record that an ID check was completed.
Members must be 21 or older and show valid government-issued ID at pickup or delivery. The website does not ask you to upload an image of your ID.
Analytics and browser storage
When the site is live we use Google Analytics 4, and Google Ads measurement if we advertise, to count visits and pages and to see which actions people take: a form sent, a call started from the site, an item added to the cart, a checkout begun. These tools set cookies that identify a browser, not a person, and we do not send them your name, email address or phone number.
The site keeps your cart, form draft and sorting or filtering choices in your browser. Form drafts are also sent to Wine Hardware as you type so your work can be recovered before submission.
Analytics run only on the public production site when measurement is enabled.
